PART-TIME PROGRAM/ADMINISTRATIVE COORDINATOR

THE POSITION:

The Program/Administrative Coordinator of the Iowa Architectural Foundation (IAF) is a part-time position, approximately 8 hours a week, reporting to the IAF Executive Director. The Program/Administrative Coordinator will assist with organization and clerical, outreach programs, events and communication. Hours are flexible. Some duties can be accomplished remotely. This position can be set up as an internship for the right student.

The Program/Administrative Coordinator will have clerical, coordinating, administrative and social media expertise to assist the Foundation with education programs and outreach. Experience working for a nonprofit organization will be a plus. Candidates should have experience using WordPress or other content management platforms and social media, or be a quick learner. The Coordinator will report directly to the Executive Director.

REQUIRED QUALIFICATIONS:

A minimum of 1 year of professional work experience, preferably in nonprofits, marketing or volunteer management is required. A Bachelor’s degree would be preferred, but not necessary. The successful candidate will be a well organized professional who is comfortable working independently. Experience in graphic design and web-based marketing would be a plus, as is an interest in the design professions and a commitment to help the organization advance and grow.

JOB DUTIES – IAF PROGRAM/ADMINISTRATIVE COORDINATOR 

COMMUNICATIONS AND CLERICAL SUPPORT

  • Maintain newsletter and other lists for publications through Mailchimp and assist with quarterly e-newsletter distribution
  • Assist Executive Director and volunteers with posting events and information on social media and website
  • Publicize programs on community calendars
  • Maintain lists, food orders and create nametags for motor coach tours and special events
  • Work with the IAF Executive Director to compile and design Annual Report
  • Assist with organizing office and filing

FINANCIAL SUPPORT

  • Familiarity with QuickBooks is a plus
  • Create invoices
  • Write checks to pay bills approved by Executive Director/Treasurer
  • Make deposits 

FUNDRAISING SUPPORT

  • Update and maintain annual donor list and database
  • Enter donations in Quickbooks
  • Assist with writing, printing and mailing donor acknowledgements
  • Review and update donor lists on website, annual report and newsletter, including ensuring that donors have correct AIA designations

PROGRAMMING SUPPORT

Architecture in the Schools

  • Contests
    • Coordinate the ABC Drawing and Snapshot Iowa Photography Contests
    • Contact each Area Education Association (AEA) re: how to best distribute contest information
    • Find and organize contacts including administrators, teachers, parents – to promote contest
    • Determine count for postcards and posters, and then distribute
    • Review and update information on website
    • Organize judging
    • Notify winners
    • Enter contestant information in database for future years
    • Write and send press releases
    • Write and mail congratulatory letters and checks
  • School Tours
    • Reach out by phone, email or in person with targeted schools to promote architect-led tours
    • Assist AIS Committee Chair with scheduling tours and finding volunteers
    • Make copies of the student booklets
    • Send email reminders to volunteers
  • ArKID-tec-SURE!
    • Promote the availability of this as a resource for teachers
    • Update and send out as requested

Architecture in the Community

  • Architecture on the Move Summer Walking Tours
    • Take reservations
    • Distribute press releases
    • Update community event sites with information
    • Update website
    • Help purchase and set up refreshments for tours
    • Track attendees and record contact information for future contact
  • Special Company/Organization Tours
    • Respond to inquiries from companies
    • Notify AIC committee chair of volunteer needs
    • Track attendee contact information when possible
  • Community Education
    • Assist Executive Director in promotion on web site and event sites
    • Assist AIC committee with scheduling new and repeating classes
